About the role

You will provide high-level administrative and organisational support to ensure the smooth running of daily operations. You’ll be trusted to work independently, anticipate needs, and maintain the highest standards of confidentiality and professionalism—particularly around client communication.

The Managing Partner values precision, attention to detail, and clear, proactive communication. You’ll be expected to manage complex schedules, coordinate meetings, and support strategic initiatives with efficiency and care.

Key Responsibilities

  • Diary & Email Management: Proactively manage the Managing Partner’s calendar and inbox, prioritising time-sensitive matters and coordinating internal and external meetings.
  • Document Preparation: Draft, format, and proof-read agendas, reports, and minutes. Maintain accurate and organised digital and physical filing systems.
  • Meeting Coordination: Organise and minute meetings, ensuring timely distribution of agendas and follow-up actions.
  • Client & Stakeholder Liaison: Serve as a professional first point of contact, representing the Managing Partner with discretion and diplomacy.
  • Confidentiality: Handle sensitive information with integrity and the utmost confidentiality.
  • Operational Support: Assist with internal projects, events, and administrative tasks, maintaining a high level of attention to detail.
  • Process Improvement: Identify and implement more efficient ways of working to support the Managing Partner and wider firm.
  • Team Collaboration: Liaise with departments and colleagues to ensure seamless communication and task execution.

The Ideal Candidate

  • Proven experience as an Executive PA or Executive Assistant, within a legal or professional services setting.
  • Outstanding written and verbal communication skills, with the ability to engage effectively at all levels.
  • A strong understanding of confidentiality and professional boundaries.
  • Highly organised, self-motivated, and able to manage multiple priorities with precision.
  • Proficiency in Microsoft Office is essential and previous experience using legal practice management systems would be beneficial.
  • A proactive mindset with a focus on continuous improvement.
  • Flexibility and adaptability to meet the evolving needs of the role.
